Onyx & Aura Open House support
Answers to common questions. If you need a hand, email hello@theonyxaura.com and we will reply within 2 business days.
Getting started
What do I need to set up?
The first time you open the app it takes you through three steps: about you (your name and, if you like, your brokerage, phone and email), the details for the privacy notice visitors see (who is responsible for the data, a business address, an email for privacy requests and how many months you keep records), and where the data is kept. Then you choose a 4-digit PIN.
There is no account to create and nothing to sign up for. Everything you enter stays on the device.
How do I create an open house?
On the Open houses tab, tap “New open house”. Enter the street address and city, pick the date on the calendar, the start time and the length, and choose the language of the sign-in form. A cover photo is optional. Then tap “Create open house”.
The free version has 1 active open house at a time. When an open house is over, open it and tap “Mark as finished”: it moves to Archived, and its visitors stay in Follow-up. With Open House Pro you can have several active at once.
The sign-in screen
How do visitors sign in?
Open the open house and tap “Start sign-in”, then hand the device to the visitor. They enter their name, a phone number or an email address (at least one), answer a few quick questions and tap “Sign in”.
The three contact permissions are separate and start unticked: calls and texts, email, and the newsletter. A thank-you shows for 5 seconds, then the form is empty again for the next visitor.
How do I leave the sign-in screen?
Press and hold “Agent: press and hold here to leave” at the bottom of the sign-in screen for 2 seconds, then unlock with your PIN, Face ID, Touch ID or fingerprint. Your lists are locked the whole time the sign-in screen is open.
How do I stop visitors from leaving the app?
Use your device’s own lock. In Settings, tap “Lock the device to the sign-in screen” for step-by-step help: Guided Access on iPad and iPhone, App pinning (called Pin windows on Samsung) on Android. Keep the tablet on its charger during the open house.
Following up
How do I follow up with visitors?
The Follow-up tab lists visitors from all your open houses. Open a visitor to set a status (To call, Called, Hot or Cold), write a note, and call, text or email them. Calls, texts and emails open your phone’s own Phone, Messages and Mail apps; the app does not send anything by itself.
Why is the Text (or Call, or Email) button off?
The buttons follow what the visitor agreed to. If they did not tick “You may call or text me about this home.”, Call and Text are off; if they did not tick “You may email me about this home.”, Email is off. The app says why under the button. A button is also off when the visitor gave no phone number or email address.
Can I change the message templates?
Texts and emails start from ready-made templates in English and Turkish, which fill in the visitor’s first name, the address and your name and phone. You can edit the message before sending it. With Open House Pro you can also write and save your own templates in Settings, “Follow-up templates”.
Exports and the seller report
How do I get my visitors into my CRM or a spreadsheet?
Open the open house and tap “Export CSV”. The file has every visitor with their answers and permissions, opens correctly in Excel and Numbers (including Turkish letters), and can be shared to email, Files or your CRM app. CSV export is always free.
What is in the seller report?
“Seller report (PDF)” is part of Open House Pro. It shows totals only: how many visitors came, how many are pre-approved or already have an agent, when they plan to buy, how they heard about the open house and sign-ins by hour. It contains no names, phone numbers, emails or notes, so you can give it to the seller. With very few visitors, totals can still point to a person, so think before sharing a report from a small open house.
Privacy and visitor data
Where is the visitor data kept?
Only on your device, protected by the device’s own encryption (when the device has a passcode) and the app lock. There is no account and the app sends nothing to a server of ours; we never receive or see what visitors enter. If iCloud or Google backup is on, the data is included in your device backup, which Apple or Google may store on servers outside your country.
A visitor asked me to delete their details. What do I do?
On the Follow-up tab, search by their name, phone or email, open their record and tap “Delete this visitor”. You can also delete a whole open house with its visitors (“Delete open house and its visitors”) or everything on the device (Settings, “Delete all data”). Deleting is always free and cannot be undone.
As the agent, you are responsible for the visitor details you gather. We cannot see or delete them for you, because they never reach us.
A visitor asked me to stop contacting them, or to fix their details.
Open their record. Under Permissions, tap “Withdraw” next to the permission they take back, and the date is kept. Withdrawing calls and texts turns off both Call and Text; withdrawing email turns off Email; a withdrawn newsletter permission shows as withdrawn, so leave them off your newsletter list. Only the visitor can give a permission again, by signing in again. To fix a name, phone or email, tap “Correct details”.
How long are visitor records kept?
As long as you set in the privacy notice (12 months unless you change it). When records are older than that, the Open houses tab tells you how many, so you can delete them in one go, or open Follow-up to look through them. Nothing is deleted without your confirmation.
What privacy notice do visitors see?
A “Privacy notice” link on the sign-in screen opens a notice filled in with the details you entered during setup: who is responsible for the data and how to reach them, what is recorded and why, the legal basis, where it is kept (including device backups that may be stored abroad), how long you keep it and the visitor’s rights.
To change your details, tap your name at the top of Settings, or “Privacy notice”. It is a template, not legal advice: check that it fits your situation and the rules that apply to you, for example if you use visitor details for anything else.
PIN, Face ID and new devices
How do I unlock with Face ID, Touch ID or a fingerprint?
In Settings, turn on “Unlock with Face ID” (or Touch ID, or fingerprint, depending on your device). From then on the app asks for it first, like your phone’s lock screen, and shows the PIN pad only if it does not recognise you or you tap “Use PIN”.
I forgot my PIN.
Tap “Forgot PIN? Unlock with the device passcode”, unlock with your device passcode (or Face ID / Touch ID / fingerprint), then choose a new PIN. Your data is not affected.
How do I move to a new device?
Restore the new device from your iCloud or Google backup: the app’s data comes back with it. For safety the PIN does not travel in backups, so the app asks you to choose a new PIN. If you do not use backups, export a CSV of each open house before you switch.
Open House Pro and purchases
What does Open House Pro add, and how much is it?
Several active open houses at once, the seller report (PDF), up to 5 questions of your own on the sign-in form, your logo and colour on the sign-in screen and the seller report, and your own follow-up templates. It is a one-time purchase, not a subscription: $29.99 in the United States, with local prices shown by the App Store or Google Play before you pay.
How do I get Pro back on a new device?
Open the Pro screen (Settings, “Open House Pro”) and tap “Restore purchase”. Pro restores on any device signed in to the same Apple Account (iPad and iPhone) or Google account (Android).
How do I ask for a refund?
Refunds are handled by the store you paid. On iPad or iPhone, go to reportaproblem.apple.com. On Android, see Google Play refunds. If you need help, email us.
